Key targets
1. Help manager to make the best use of his time
a. Organize and maintain diary and appointments Review all incoming mail for schedule requests; answer and put into diary for agreed parties (sector, AP, direct reports). Brief manager about all additions / requests in morning meeting. Decide on requests together with manager and answer.
b. update and chase delegated tasks (e.g., from MOMs) to ensure progress to deadline
c. Personal to do: keep all to-do items up to date and review regularly with manager. Re-schedule if not done yet and remind manager what needs to get done on a particular day / in a particular week.
d. Meeting preparation: prepare agenda and arrangements (including external meetings); prepare materials according agenda in meeting folder for daily meetings (if more than one meeting a day separate appropriately). Review with manager during morning meeting.
e. Information gathering: Carry out paper, book or internet research on selected subjects
f. Business support: support business activities or take on business related projects as directed
g. Communication: field calls and requests for appointments and filter as appropriate (callbacks in case of unknown callers …)
2. Keep information up to date and accessible
a. Filing system: file all paper material and all e-mail for easy access and retrieval
b. Contact management: manage all contacts and keep them up to date. Review new additions (business cards) with manager for special information to be included.
c. Deal with incoming e-mail, fax and post Incoming paper mail (letters, fax): stamp for incoming date (on envelope for confidential matters) and file a paper copy (with date stamp) of all public information before handing over to manager; E-Mail handling: print only action items / items requiring answers during managers absence. Draft answers to items you understand and send after manager’s release
3. Communication
a. Mail:compose correspondence/reports for own or manager’s signature
b. Phone: handle inquiries as much as possible; arrange “callbacks” and provide backup material for callbacks;
c. Presentations: prepare presentations based on manager’s guidance and instructions
d. Employee communication: support arrangement / evaluation of employee meetings, training etc
4. Travel
a. Arrange travel
b. Prepare itinerary and materials
c. Complete expense reports
5. Administrative support to management team / office
a. Arrange travel
b. Support general administrative needs (including arrangements for expats)
c. Office administration and office planning
Qualifications:
• Bachelor Degree
• At least 3 years related experience
• Fluent English
• Excellent writing skills
• Strong presentation skills
• Experience with Microsoft Office, Lotus Notes would be an advantage
• High ability to communicate effectively at all levels both within the business and outside
• Detailed, organised, ability to multi-task
• Ability to work with minimal supervision
• Self motivated and able to work both individually and within a team
• Strong listener, and attentive to detailed requirements
• Communicative in all aspects of the job, and highly consultative
• Creative, and willing to challenge the status quo in a thoughtful manner
• Full time. Base in BEIJING
